Whether you’re using Excel or Google Sheets, this tool offers a customizable and user-friendly solution for managing your team’s attendance.

This absence tracker includes everything you need to stay organized. It’s flexible, easy to set up, and fully customizable to match your company’s requirements.

Key Features of the Absence Tracker

Menus Tab

This tab helps you set up the foundation of your absence tracker. Here’s how you can customize it:

  • Abbreviation Headers: You can define the abbreviations for different types of absences, such as “S” for sick leave or “V” for vacation, based on your company’s preferences.
  • Enabling and Disabling Menus: Control which features are active by using a checkmark (✓) for in use and an “X” for not in use. This ensures your absence tracker only shows what you need.
  • Order by: You can reorder the menus by assigning them numbers. Lower numbers appear first and changes are reflected in the Team Report, Monthly Report, and Annual Report tabs.
  • Non-Working Days: Select up to 3 non-working days (such as weekends), which will be reflected in the Team Report.
  • Employee Status Column Menu: Customize employee work statuses and have them reflected in the Personnel Tab for easy tracking.
  • List Holidays: Enter up to 30 holidays, and they’ll appear on the Team Report.

Personnel Tab

The Personnel Tab is where you input employee information. This section is easy to use and supports up to 100 employees. If you need to add more, just let us know, and we can extend the limit for you. Once the information is entered here, it will automatically update in other parts of the absence tracker, such as the Absence Logs Tab.

Absence Logs Tab

This is where you log employee absences. You can select an employee’s name from a drop-down menu, which is auto-filled based on the Personnel Tab. Here’s what you can track:

  • Employee Name: Select from the drop-down.
  • Role: This will auto-fill from the Personnel Tab.
  • Date: Enter the date of absence.
  • Reason Type: Select from a list of reasons (e.g., sick leave, vacation, personal leave).
  • Approval Status: Log whether the absence is approved or pending.
  • Notes: You can enter any important details here, and they’ll appear in the Monthly Report Tab.

Team Report Tab

The Team Report Tab allows you to generate attendance reports by month and year. Simply:

  1. Select the month from the drop-down menu.
  2. Enter the year.
  3. The report will automatically populate, showing you the attendance for your team.

You can also highlight specific employees for easier tracking and analysis.

Monthly Report and Annual Report Tabs

These tabs offer a detailed breakdown of employee absences:

  • Monthly Report Tab: View absence data for any employee by selecting the month, year, and employee’s name. The report will generate automatically.
  • Annual Report Tab: This allows you to view a full year’s worth of absence data. Choose January as the start month to see absences from January to December, or pick a custom start month. For example, if you want to see data from August 2024 to July 2025, select August, enter the year, and the tracker will show all data through July 2025.

How to Use the Absence Tracker

Setting up the absence tracker is easy and requires only a few steps:

  1. Customize the Menus Tab: Set up your absence codes, non-working days, and holidays.
  2. Enter Employee Details in the Personnel Tab: Add up to 100 employees.
  3. Log Absences in the Absence Logs Tab: Track employee absences by entering the date, reason, and approval status.

Once you’ve entered the data, the absence tracker automatically generates all reports for you. Just select the month, year, and employee, and the absence data appears instantly.
