How the Absence Tracker Works

Menus Tab

The Menus Tab is where you set up your Absence Tracker. You can easily prepare it for use every year.

  • Abbreviations: You can create your own short codes for different absences, like “S” for sick days or “V” for vacation days. Just delete the default codes and replace them with your own.
  • Non-Working Days: Here, you can select your non-working days from a drop-down menu. If your business is closed on certain days, choose them here. If you don’t have any non-working days, just leave it blank.
  • Enter Start Year: You can use the tracker for any year. Just go to the Menus Tab and change the year in the “Current Year” section. You can keep using it year after year without starting over.
Employee List
  • Employee Information: You can enter details for up to 50 employees in this tab. These details will show up in all other tabs. If your employee count changes, just add or remove names from this list, and the tracker will adjust automatically.

Marking Absences

Wondering how to mark absences? It’s simple!

  1. Go to the month where you want to record the absence.
  2. Use the abbreviation code you created for that absence. For example, if “S” stands for sick days, just enter “S” on the day the employee was absent.
  3. The tracker will automatically update your records.

This feature is designed to be easy. You only need to input the code, and the tracker does the rest. You can also check the Example Page included with the tracker to see how it works before you start. Once you understand it, you can delete the example page.

Viewing Absence Reports

The Reports Tab is where you can see detailed reports for each employee. It gives you a complete overview of absences over time, making it easy to spot trends or issues.

  • Full Employee Report: To see an employee’s report, just select their name from the drop-down menu in the Reports Tab. The tracker will show a full breakdown of their absences, which helps with performance reviews, payroll, or keeping organized.
  • Month Highlighter: If you want a quick view of which months had the most absences, you can use the “Month Highlighter” feature. This option highlights months with more absences, so you can easily identify patterns. If you don’t need it, you can remove it by hitting delete.
